The World Bank Office in Tirana, Albania invites all interested vendors for Outsourced Labor Services to submit proposals to provide services as defined below. The required services involve two positions 1. Receptionist/team assistant and, 2. Handyman/Office helper.

 

The Invitation for Bids (RFP) is scheduled to run in October 2023. The awarded contract will be with duration of 2 years with 3 optional (1+1+1).

RECEPTIONIST/TEAM ASSISTANT

 

Minimum Requirement

High school or equivalent diploma or comparable experience, minimum two (2) years experienced in front desk or administrative position.

Good command in written and spoken English to handle work in a multicultural financial organization. Effective written/verbal communication skills. Computer literate, familiarity with office software and ability to operate scanners, copiers and printers. Understanding of basic file/record systems.

Ability to work accurately and complete tasks according to specific instructions.

Willingness to seek assistance from experienced Bank staff and learn from them.

Good team player, with ability to interact tactfully and effectively with Bank staff at all levels in a multicultural environment. 

 

Responsibilities

Receive visitors and direct them to the respective staff. 

Making local and international telephone calls. 

Make reservation of meeting rooms. 

Coordinate video conferences.

Receive the visitors and direct them to the respective staff.

Receive and dispatch incoming and outgoing mail/documents.

Take care of incoming and outgoing telephone calls. 

Update daily staff attendance register book and report to HR.

Place requisition for stationery to the vendors and distribute them to staff as per requirements. 

Update The World Bank telephone list, as the case may be.  

Update The World Bank staff list, as the case may be. 

Maintain car booking. 

Operate office fax machine, scanner, copier and printer.

Good written and spoken English to work in a multicultural organization. 

Must be computer literate.

Provide administrative support to all team members as needed/required.

 

 

HANDYMEN/OFFICE HELPER

 

Minimum Requirement

High school or equivalent diploma or comparable experience.

Able to understand English.

Technical and practical knowledge in repair/maintenance (e.g., electricity, plumbing, gardening, construction).

 

Responsibilities

Make house-calls for any repair/maintenance, for international staff.

Assist Admin in completing house assessments’ checklist.

Oversee any construction done by landlord.

Performing administrative functions as and when required. Photocopying, binding, paper cutting etc.

Changing water galloons.

Fixing up tables and chairs for big events/meetings.

Help set-up new workstation.

Maintenance of above equipment.

Take care of garden as and when required. Mowing/Keep all external gardens and lawn areas clean within Bank’s surrounding territory. Daily cleaning of the garden inside the office, removing leaves, trash to assigned locations.

Minor office repairs, such as replacement of bulbs, replacement of locks, cleaning of AC, cleaning of security cameras, office gates devices, minor wall paintings.

Loading of office furniture, equipment, materials, and supplies.

Maintenance and minor repair of office furniture and equipment (excluding IT equipment).

Independently conduct periodical maintenance services for Office equipment and mechanical/ electric systems - such as A/Cs and office gates, hydraulic system.

Conduct periodic site supervision of the building and offices, at least every two weeks. Identify issues and ensure timely follow up with the repair. 

Identifying the needs for replenishments of grass, flowers, plants, disinfectants, and provide technical specifications required for the procurement. 

Performing administrative functions as and when required.

Maintain equipment and supplies provided by the Bank, clean and in good working conditions.

Cleaning of office gates and the territory at the generator’s area, water deposit area. 

Report to the Bank Project Manager the repairs done and issues that require more specialized/ technical action. 

The WBG reserves the right to publicly disclose contract award information, including but not limited to, name of company receiving the award, brief description of services, and contract award amount, for any contract award valued over US$250,000. Offeror's proposal and contractual documents will remain confidential and therefore not subject to disclosure.
