The World Bank Group (WBG), with 189-member countries, staff from more than 170 countries, and offices in over 130 locations, is a unique global partnership: five institutions working for sustainable development solutions that reduce poverty and build shared prosperity in developing countries. The WBG is one of the world’s largest sources of funding and knowledge for developing countries. Resident Boards of the WBG consist of Directors, who each represent a country or constituency of countries. Directors and their staff meet many times per week in the WBG headquarters in Washington, D.C. and/or virtually to oversee institutional governance and WBG operations. Meetings take on different formats depending on the type of meeting (Board, Committees, briefings, seminars, events etc.). 

Additionally, the WBG institutions engage their Governors – Ministers of finance or other senior officials in their shareholding countries--in a bi-yearly fashion to discuss progress at the IMF-WBG Spring and Annual Meetings. The nature of the WBG’s business requires meetings where participants can connect from different locations around the globe, which introduces variability in terms of the quality and speed of remote connections and requires reliable, easy to use and secure solutions. 

This Request For Information (RFI) for Hybrid Board Meetings Management System is issued for the purpose of obtaining information concerning market conditions and vendor capability and understanding better what is currently available in the commercial marketplace. The WBG is looking to identify a commercial solution to conduct regular meetings of its Boards of Directors and large events in a hybrid format with mixed virtual and in-person participation. This RFI is issued to develop a robust view of the current market offerings and capabilities to hold and manage hybrid meetings.
